Guidelines for Participants

fire dancerWe are happy to include your group in the roster of more than 40 performances during the Performing Arts Festival on Sunday, April 13. Please read the following information:

Changes and Cancellations

  • If you have minor changes after the Festival Guidebook is printed, announce them at your performance.
  • If you need to cancel, give the Office of the Arts at least two weeks notice before the event, or your future participation may be jeopardized.

Publicity

  • Please include the Festival of the Arts logo prominently on flyers or other promotions for your event. Click here for a black and white version; here for a high-resolution color version (good for print materials); here for a low-resolution color version (good for the Web).
  • Festival Guidebooks will be available starting April 2 in the Shapiro Campus Center and at each performance site.
  • Your event will be listed on this Web site.
  • We publicize the event extensively on campus, to the Waltham community and beyond.

Preparation and Rehearsals

  • Your site manager (see below) will be in contact via e-mail and phone between now and the festival to keep you updated.
  • If you have requested a rehearsal, be on the lookout for e-mail from a site manager. Rehearsals are optional; if your site is available for rehearsal, we will help you schedule a time for your group as close to the date of the Performing Arts Festival as possible.
  • Help your site manager be prepared: if you need to bring instruments or equipment that are not listed on your tech sheet, let her know in advance.

The Day of the Performing Arts Festival (Sunday, April 13)

  • Performers: you must arrive 15-20 minutes before your performance and check in with the site manager, who will show you to your warm-up room.
  • If you have your own program notes, give them to the volunteer greeters when you arrive.
  • Performances are 20 minutes long, with 10 minutes for setup and for breakdown. The site manager will cue you to begin and finish up. With some exceptions (piano, drums, and so forth), performers should carry their instruments on stage.
  • Volunteer crew members will help you set performers’ chairs and music stands, and volunteer greeters will direct audience to their seats.

Volunteers Needed
Lend a hand before or after your performance! Volunteers receive a festival t-shirt and will be entered in a raffle for big prizes. In addition to the swag, volunteers gain behind-the-scenes experience with a vibrant arts festival!
