About the Process


Project Request

If you’re interested in working with Creative Services, please complete the online Project Request Form. Your request will be reviewed by someone on our staff within 24 hours.

If your project fits within the scope of what we can do, a three-member Creative Services team — the production manager, the publications editor and a designer — will work with you. (If Creative Services can’t take on the project, we can help you find freelance support.)

Initial Meeting

The production manager, who serves as your main point of contact throughout your project, will schedule an initial meeting for you and the creative team. Please come to this first meeting prepared to discuss creative concepts, budget and delivery dates.

Production Schedule

After the initial meeting, the production manager will send you a production schedule. The length of the schedule will depend upon the complexity of the project (and may also be affected by Creative Services’ workload).

Please review this production schedule carefully. If it doesn’t align well with your workload, the production manager can adjust the dates to give you adequate time.

Remember that once the schedule is in place, any failure to meet your milestone dates could affect your delivery date.

Cost Estimates

After the project’s scope has been determined, the production manager will solicit print estimates and send you written confirmation of the lowest one. If the cost exceeds your budget, you can meet with the production manager and the designer to explore ways of reconceiving the project to reduce expenses.

Photography

If your project includes photography, please wait until the design concept is determined before starting to compile the photos. If you want to use or take your own photos, Creative Services will make sure you have the proper image requirements. If stock photography is necessary, you will approve the cost before we purchase any images.

Editing

After you submit your manuscript to the production manager, it will be edited by the publications editor for grammar, accuracy and style (Creative Services follows Associated Press style guidelines). Edited copy will be sent back to you for your review and approval.

Composition and Printing

Throughout the production process, you will be asked to proofread and approve page proofs and printer’s proofs. The publications editor will also review every stage of proof. Please read all proofs carefully, with an eye toward spotting and correcting any inaccuracies and mistakes, then return a signed copy of the proof to the production manager.

Coordinating With a Mail House

If your project includes mailing, Creative Services will design your publication accordingly and help you coordinate your project’s delivery with your mail house or find a mail-services vendor.

Reprints

To reprint an existing publication without making any changes, complete and submit the online Project Request Form. This will ensure that any obsolete text or unwanted design elements from the original version are not inadvertently included in the reprint.
