Detailed Instructions for Faculty and Staff


Below are some detailed instructions to help you contribute your crisis contact information.

Visiting the Community Crisis Page

When you log in to BUSS, click the Community Crisis Management link (marked with a red exclamation point).  You can also return to this page at any time to update your crisis contact information. To visit the page:

  • Visit buss.brandeis.edu, and log into BUSS using your UNet username and password.
  • To access BUSS from off-campus:
    • Visit wormhole.brandeis.edu.
    • Log in using your UNet username and password.
    • Click on the BUSS link near the top of the page that appears.
    • Log into BUSS using your UNet username and password.
    • Click the Community Crisis Management link (marked with a red exclamation point).

Receiving voice messages

During a campus crisis, Brandeis will automatically contact you using the campus phone that is connected in your room. You may also contribute up to three personal phone numbers on the Community Crisis page. During a crisis, Brandeis will send voice messages to these numbers to help you keep up to date and stay safe. 

Selecting personal phone numbers

Scroll through the Campus Crisis page to the area where you can select personal phone numbers. This area will look like the image below.

  • You can select up to three different personal phone numbers, labeled Phone 1, Phone 2 and Phone 3 on the Community Crisis page.
  • BUSS will automatically use the phone number that you've already labeled as "Permanent" as Phone 1, one of the phone numbers used to contact you during a crisis. 
    • To designate a different number as Phone 1, click on the down-facing arrow next to the Phone 1 box. 
    • From the drop-down menu that appears, select the phone number that you wish to designate as Phone 1.

  • To designate a second personal phone number as Phone 2, click on the down-facing arrow next to the Phone 2 box and select a phone number from the drop-down menu that appears.
  • Follow this process to designate a third personal phone number as Phone 3.

Adding a personal phone number

If you wish to use a phone number that isn't already stored in BUSS as one of your crisis contact numbers, you can add that phone number to SAGE.

  • At the right of the phone numbers area, click on the link labeled Manage Phone Numbers.
  • BUSS will display a page titled Phone Numbers.
  • Click on the yellow button labeled Add a Phone Number.
  • Click on the down-facing arrow next to the box just above the Add a Phone Number button.
  • From the drop-down menu that appears, click on the phone type that best describes the number you're about to add. Be aware that the Community Crisis page will only allow you to select numbers labeled as Permanent, Cellular or Crisis Contact Extra for use during a campus crisis.

  • In the empty box in the Telephone column, enter the phone number you wish to add.
  • Click on the yellow button labeled Save near the bottom of the page.
  • Click OK to confirm the addition of this phone number.
  • BUSS will display the Community Crisis page so that you may designate the phone number you just added as Phone 1Phone 2 or Phone 3

Receiving text messages

During a crisis, Brandeis can contact you by sending a text message to your cell phone. Using the Community Crisis page, you can activate your cell phone number so that you receive text messages on your phone during a campus crisis.

Activating your cell phone number to receive text messages 

  • Scroll through the Campus Crisis page to the area where you can choose to receive text messages on your cell phone. This area will look like the image below.
  • If you have already stored a cell phone number in SAGE, that number will automatically appear in the text messages area. If you haven't stored a cell phone number, consult the instructions below to add a cell phone number to your personal portfolio in SAGE.
  • Click to place a checkmark in the box labeled Receive SMS/Text Message.

Adding a cell phone number

  • At the right of the phone numbers area, click on the link labeled Manage Phone Numbers.
  • On the Phone Numbers page, click on the yellow button labeled Add a Phone Number.
  • Click on the down-facing arrow next to the box just above the Add a Phone Number button.
  • In the empty box in the Telephone column, enter the number for your personal cell phone.
  • Click on the yellow button labeled Save near the bottom of the page.
  • Click OK to confirm the addition of this phone number.
  • BUSS will display this cell phone number in the text messages area. You can now activate it to receive crisis information via text message.

Receiving email messages

During a campus crisis, Brandeis will automatically contact you using your Brandeis email account. You may also contribute an additional personal email address on the Community Crisis page.  During a crisis, Brandeis will send email messages to this address to help you keep up to date and stay safe.

Selecting a personal email address

  • Scroll through the Campus Crisis page to the area where you can select a personal email address. This area will look like the image below.

  • If you have stored a personal email address in BUSS, that address will appear in the box labeled Additional.
  • If you have stored more than one email address, you can select which personal email address will be used to contact you during a crisis.
  • Click on the down-facing arrow next to the box labeled Additional.
  • From the drop-down menu that appears, select the email address that the university should use to contact you during a crisis.

Adding a personal email address

If you wish to be contacted at a personal email address that isn't already stored in BUSS, you can add that email address.

  • At the right of the email addresses area, click on the link labeled Manage Email Addresses.
  • BUSS will display a page titled Email Addresses.
  • Click on the yellow button labeled Add an Email Address.
  • Click on the down-facing arrow next to the box just above the Add an Email Address button.
  • From the drop-down menu that appears, click on the email address type that best describes the address you're about to add.

  • In the empty box in the Email Address column, enter the address you wish to add.
  • Click on the yellow button labeled Save near the bottom of the page.
  • Click OK to confirm the addition of this email address.
  • BUSS will display the Community Crisis page so that you may select the email address you just added for use during a crisis.

Confirming and saving your crisis contact information

 Once you have entered your crisis contact information:

  • Scroll to the bottom of the Community Crisis page.
  • Click to place a checkmark in the box labeled Confirm.
  • Click on the yellow button labeled Submit.

  • BUSS will re-display the Community Crisis page, along with the date and time that you clicked on Submit, to indicate that your information has been saved.
  • You can change your crisis information at any time. To do so, follow the instructions for Visiting the Crisis Community Page.

Opting not to be contacted during a campus crisis

During a crisis, Brandeis will automatically contact you via your campus phone and Brandeis email address. You may use the Community Crisis page to direct Brandeis not to contact you during a crisis in any other way. To opt not to be contacted except via your campus phone and Brandeis email address: 

  • Near the top of the Community Crisis page, click on the down-facing arrow next to the Phone 1 box.
  • At the top of the drop-down menu that appears, click on the blank line. This will remove any contact information from the Phone 1 box.
  • Repeat this process for the Phone 2 and Phone 3 boxes.
  • Click to remove the checkmark from the box labeled Receive SMS/Text Message
  • Scroll down on the page, and click on the down-facing arrow next to the Additional box.
  • At the top of the drop-down menu that appears, click on the blank line. This will remove any contact information from the Additional box.
  • At the bottom of the page, click on the Submit button.
