When an employee gives notice of resignation, the supervisor must complete an Employee Change Form (ECF). If applicable, this action will initiate the termination of benefits, the offer of COBRA health benefits continuation, and the employee’s accrued vacation leave payout. The termination ECF should be processed when the employee gives their notice, prior to the employee’s last day of work to prevent over-payments.
For employees with end dates specified at the time of hire (e.g., temporary employees, contract faculty, and post doctoral fellows), the termination date will have been entered as it was provided on the New Hire Form (NHF). If there is a change to the end date for a temporary employee, contact an HR Employment Specialist to extend the appointment. You may be required to complete a new form. If there is a change to an end date for a contract faculty or a postdoctoral fellow an ECF must be completed to change the employment termination date. Specifying future termination dates in PeopleSoft helps avoid overpayments. It is the responsibility of the Employee’s Department to track this information and submit changes in termination dates to Human Resources staff. If no change is reported the employee’s pay will cease as of the original end date.
