Report from the Project Director
Tracey Leger-Hornby

Introduction
The PeopleSoft financial modules implementation continues to move forward as planned. As of fall 2001, the financial modules (General Ledger, Accounts Payable, Procurement, and Post-award Grants) were in full production and work has begun on the HR/Payroll part of the project.

Financials
The development team has completed development of the first round of monthly reports (Summary, Transaction Detail, Labor Distribution, and Open Commitments). These are now being fine-tuned by the Accounting, Purchasing, and Budget Offices, and reviewed by the Brandeis community.

In carrying out our report-distribution strategy for the initial monthly reports we have:
Printed the first five sets of reports,

Moved the second phase of these same reports to an electronic distribution format using the SwiftView software,

Developed a web-based delivery system to provide two formats of reports, Acrobat (.pdf) and Excel. This delivery system is now undergoing pilot testing.

Created a plan for rolling out the delivery of the web-based system to the community at large.

HR/Payroll Progress
One of the first steps in implementing the HR/Payroll module of the new PeopleSoft software was the formation of an advisory committee chaired by Jim Hurley, Associate VP for Budget and Planning.

The committee has five objectives:

Provide feedback,

Offer suggestions,

Share information with the community,

Reflect on issues, and

Support the core team.

The HR/Payroll Core team is hard at work converting data from our legacy HR/Payroll system to PeopleSoft format and testing the Brandeis-specific configuration of the new software in preparation for parallel testing, scheduled to begin in January. The core team consists of staff from Human Resources, Payroll, ITS, and LogicGate, our consulting partners.

New HR/Payroll Capability
We're excited about one enhancement that comes with the new software called position management. Position management will allow us to manage our workforce in terms of the positions employees occupy rather than just the employees themselves. It will define a job and relate the position to funding source and budget. This offers a great improvement in HR management efficiency by providing templates for standard employment information arranged by position.

Next Steps
In the first few weeks of the new year the project will focus on running our current system in parallel with the new PeopleSoft system. We will load actual data and perform routine tasks, such as running a payroll through the system. We will compare results of the processes and determine whether our configurations of PeopleSoft are what we want them to be. We plan to run three such tests to make absolutely sure that the system is properly set up and operating correctly.
