Introduction |

| The PeopleSoft Project* has been underway since June 2000. This project--the implementation of PeopleSoft administration management software for Financials, Human Resources, and, later, Student Administration--was undertaken to improve the way we handle information in these areas. This new software will, among other things, be transparent to the user, share information across the University, and offer convenient self-service Internet access. We are nearing the end of the project's construct phase during which the implementation team examined the system's functional requirements looking at how the system fit our needs and identifying small gaps that will require changes in current business practice. This is the second of four phases in the implementation of the financial software application, which includes the general ledger, purchasing and accounts payable modules. The Financial Implementation Team is assisted by the PeopleSoft Professional Consulting Group. PSPG consultants offer not only expertise in the PeopleSoft application, but also knowledge of the best higher education business practices and help solving the kinds of technical problems common to such an implementation. The consulting team includes Valencia Borders, Project Manager; Joel Eiserman, Purchasing and Accounts Payable Consultant; and Robin Filler and Melissa Roberts, General Ledger and Accounting consultants. Several short-term, consultants-in-training also work with us as part of their orientation to the PeopleSoft organization. |

| The project has four phases: structure, construct, transition, and deployment. During the structure phase, in late Summer 2000, the technical team installed the software and created copies of the database for testing and development. Since the start of the construct phase, the implementation team has configured the system for operation and entered a few critical data elements as a starting point for using the system. In early Winter 2001, we will begin prototypingactually using the system for some simple tasks to show how the new system works with our own business rules and data. The third phase, transition, scheduled for late Spring 2001, will build on the feedback gathered during prototyping and move us closer to system deployment, the final phase. In the deployment phase we will enter more Brandeis University-specific data, such as building locations, department codes, and preliminary budget figures. |

| In prototyping, the next part of the current, construct phase, a small team of representatives from departments affected most by this implementation will view the new system at work for the first time to see how it handles sample situations. Their feedback will be extremely valuable to the implementation team in adjusting the system for efficient and effective operation. Prototyping team members will also share their knowledge about the new system with their home departments. |
