Introduction |
||
| The PeopleSoft Project* is now actively underway. As it is designed, the Project has two initial phases. The first is to replace our current financial software with the PeopleSoft General Ledger, Accounts Payable, and Purchasing financial modules. The second phase will replace our current human resources software. A third, later, phase will replace the current student information system software. The first two phases are expected to take between two and three years to complete. In this report I will focus on the financials phase only. | ||

| In the past few months we formed a team to plan and implement the PeopleSoft Financials project. My name is Tracey Leger-Hornby, I am the Project Director and I am pleased to introduce you to the Finance Team. A Steering Committee composed of Ed Adelman, Maureen Fessenden, Perry Hanson, Jim Hurley, and Maureen Murphy directs the project. This committee meets weekly to review project activities, monitor the project budget, and make decisions necessary for the progress of the project. The Executive Sponsor for the Project is Executive Vice-President and Chief Operating Officer Peter French. |

| The project is divided into four phases. The first phase, the structure phase, has three parts. We have reached our first milestone by completing the Implementation Plan and Strategy component. Our initial efforts concentrated on creating strategies and formulating a detailed project plan. We also installed a test and development computer system with a complete software setup. The team is currently examining the system's functional requirements. This is called "fit/gap analysis." It looks at how the system "fits" our needs or where there may be "gaps" that would require a change in business practice. We are using PeopleSoft consultants to help with this complex process. The project team is working hard to learn the PeopleSoft software and to identify best practices as we install the Brandeis specific system. Our goals are to minimize customization and to stay within budget and on schedule. |

| Next Steps |

| In the next few months, during the second Construct Phase, we will develop prototype systems with Brandeis specific information. These systems will enable the team to test the software to see if the processes work to our satisfaction. During this phase some programming and considerable configuration will take place. The sequence of events in the Construct Phase is: Design, Conduct Prototyping, and Build and Test. In the third phase, the Transition Phase, a significant amount of testing takes place. This is also a time for much user training on the new software. The fourth and final phase for the General Ledger and Accounts Payable/Purchasing modules is the Deployment Phase. In this phase the system is active and users complete the shift from the current system onto PeopleSoft. |
