We are seeking an intelligent, organized, resourceful, tenacious, detail-oriented, and amiable individual that will work as a Staff Assistant.

Skills and Duties:

The overall responsibility is to provide complete research administrative support for an ambitious Harvard Medical School Professor whose research laboratory resides at Massachusetts General Hospital and also has appointments with the Broad Institute and Howard Hughes Medical Institute. The research group consists of a very talented group of graduate students, medical students, fellows, and clinicians that work collaboratively to discover genes and therapeutics for human metabolic diseases. The Staff Assistant will have an opportunity to interface closely with this lively group and help it achieve its long-term mission of curing patients with devastating metabolic diseases. Reports to the Lab’s Principal Investigator and the Department’s Senior Administrative Manager.


•Meet with the Professor for a weekly administrative meeting and review agenda of weekly tasks
•Manage Professor’s google calendar
•Manage Professor’s CVs, NIH Bio-sketch, Other Support Page, & licensure documents
•Arrange travel to conferences and or other meetings for the Investigator and lab members when necessary
•Organize lab group meetings and social outings
•Arrange interview visits for prospective new lab members
•Update the lab website as needed
•Develop written policies and standard operating procedures for the laboratory’s general administrative tasks
•Assist in the Pre-Award Sponsored Research Development Process including:
•Includes assisting with the completion of applications from various sponsors
•Updating & Maintaining Bio-sketches, other CVs and various template documents
•Budget development
•Institutional record creation
•Maintaining protocol approvals
•Processing amendments to protocols when needed
•Gathering other documents as required
•Assist Post-Award Fund Management Process which includes but may not be limited to:
•Arranging for reimbursements internally and externally
•Interfacing with the administrative and financial team of the department
•Meet regularly with the Professor and with the departmental finance office to review and monitor monthly financial reports
•Review expenses on projects to ensure they are in compliance of all Sponsored Regulations and Institutional Policies
•Manage and reconcile all T-Card and P-Card transactions in the timely fashion required
•Assist with other administrative duties as they arise
