Common Spaces Reservation Request

The Department of Residence Life is excited to share our resources with faculty, students, and staff at Brandeis. Carefully read instructions posted below on how to submit a reservation request. Please understand that the space has not been successfully reserved until you receive a confirmation e-mail from Residence Life staff.

1) Determine what space you need

Posted below are descriptions of our programming spaces and the amenities they hold:

Polaris Lounge, North Quad

A large room with standing capacity of close to 100. It features two areas: kitchen and dining bar (including stove, refrigerator, and dishwasher) and couches for large-group seating of about 25. Includes large-screen TV.

Shapiro Common Room, Massell Quad

Equipped with ample seating, a large screen television and kitchen access, students from Massell Quad are often found utilizing this space. The Shapiro Lounge is available for reservation by registered student groups and departments.

Airplane Lounge, East Quad

Couches for large-group seating, capacity of 30. Includes TV w/ VCR.

Castle Commons

Depending on your needs, this multi-purpose space includes: couches with flexible arrangement for large or small-group seating; kitchen, bar, and dining table seating 12; study carousels; TV. Open areas can be created for group activities, with standing capacity of about 100.

Dance Studio, Rosenthal Quad

This air-conditioned space includes hardwood floors, mirrors and dance bars, and is ideal for dance or play rehearsals.

Music Practice Room, Rosenthal Quad

This large, open space includes some sound-proof padding, making it great for music practice or play rehearsals. Please understand that music rehearsals cannot take place during University quiet hours.

South Lounge, Rosenthal Quad

Flexible couch arrangement seats about 25 around a mid-size TV.

Charles River Commons

Besides a kitchen (offering all amenities but the oven) and couches for small-group seating around a TV, this area also offers open space for group activities.

Multi-purpose room, The Village

This large open space affords many ways to express artistic abilities, such as dancing or singing, or spiritual activities, such as yoga or meditation. The space features hardwood floors and mirror-lined walls.

Seminar room, The Village

With state-of-the-art technology (a projector connected to DVD and VHS player and a computer interface), the seminar room best accommodates classes, study sessions, and round-table meetings.

TV Lounge, The Village

With flexible couch arrangement for meetings or activities for up to 40 people, the area also has a large-screen TV with DVD and VCR. Please understand that this room serves as the primary common area for Village residents. Programs not open to residents of the Village may be denied at the discretion of the Quad Director.

2) Propose an event in the calendar

  1. Determine availability by viewing already-scheduled activities through the links below. Please understand that some items may not appear in the schedule. If the time period is taken, please find a different location that accommodates your needs.

  3. In the upper right hand corner of the calendar, click the tab labeled Add Item.
  4. Log in with your Brandeis user name and password. If this is your first time using my.brandeis.edu, you may need to setup your username and password. Follow the step by step procedures to do so.
  5. Please fill out the following fields:
    Title: Title of event.
    Description: A brief description of the event. Include the name of the sponsoring student group if applicable.
    Date and Times: Please fill in the date and the start and end time for your event. If the event is to run in the space all day, please check the box labeled all day event.
    Contact Information: Please include your name and e-mail address.
    Location and Room: These fields can be left blank (the event will be scheduled for the location you selected automatically).
    All other fields are optional and do not need to be filled out. Please fill out what you believe is relevant for students and for res life in order to approve your event.
  6. You may request to schedule an event on multiple occasions. Please understand that based on community needs, Residence Life staff may need to deny you one or more instances of your request. While we are excited to share our spaces, we also need to be mindful of the needs of our residents who typically use those spaces.
  7. Because the calendar is linked to my.brandeis calendar, you may invite the rest of the campus to your event, if applicable. The calendar item will show up on the main my.brandeis page only if the "invite the rest of campus" box is checked.

3) Wait for Residence Life approval

Please understand that until you receive a confirmation e-mail, your request has not been officially approved and will not appear in the calendar. Residence Life staff may contact you with clarifying questions or ask you to resubmit your proposal.

4) Respecting the Common Space

Once in the space, please respect our community standards, including quiet hours, cleanliness, and any equipment that you use. Please report any irregularities or issues to a Residence Life staff member so that we may deal with the concern as soon as possible.
