Salary Increase Program for Staff

Update: 2025 Annual Salary Increase Program for STAFF

  • The 2025 annual pay increases for non-Union staff whose positions are not 100% grant or gift funded are approved. All pay increases are effective July 1, 2025.
  • Your manager will be communicating your pay increase to you between now and June 30th if that has not already happened.
  • On July 1, all non-Union staff will be able to print out an Employee Annual Increase Statement in Workday. Please see the job aid for assistance.
  • While employees in the new Local 888 administrative and research bargaining unit participated in this year's merit program, their increases were processed differently, using the same merit pool. These employees should speak with their direct supervisors to understand the amount of their July 1, 2025 merit increase.
  • New rates of pay will be reflected in the 7/11 weekly pay and the 7/15 semi-monthly pay.
  • Union Staff receive increases per the terms of their Collective Bargaining Agreements. Increases for employees in the new Academic Research Union are being planned now.
  • Salary increases for all employees whose positions are 100% grant or gift funded will be processed after Workday reopens retroactive to July 1, 2025.
  • Questions should be directed to your manager.
University Procurement Card Update

We are excited to share that Brandeis is transitioning our university procurement card (P-Card) program to PNC Bank. This change will occur over this summer. The goal is to enhance our procurement processes and provide improved services to all cardholders.

Key Details:

  • New P-Cards Issuance: All current P-Card holders will receive a new Visa P-Card.
  • Card Distribution: Members of the Procurement team will be available on campus in the Blue Huts located in Fellows Garden on the following dates to distribute the new P-Cards (if the dates/times or location below are not convenient there will be other opportunities to obtain your new card after these dates).
    • Tuesday July 15 9:30 a.m. - 4:30 p.m.
    • Wednesday July 16 9:30 a.m. - 4:30 p.m.
    • Thursday July 17 9:30 a.m. - 4:30 p.m.
  • Identification: Please bring your Campus ID and your existing P-Card when picking up the new Card.
  • Activation: Instructions for activating your new P-Card will be provided during distribution.
  • Deactivation of Old P-Cards: Current P-Cards will remain active until your new card is picked up.
  • Reconciliation Process: There will be no changes to how P-Card charges are reconciled. All charges will continue to post to Coupa, where cardholders reconcile transactions.

Additionally Procurement and Business Services will be available on campus every Wednesday from July 23 through August 20 from 9:30 a.m. - 4:30 p.m. in the huts in Fellows Garden.

Active Threat Training
July 31 & August 1

On Thursday, July 31, and Friday, August 1, Public Safety will be hosting an Active Threat Integrated Response Training for area first responders, coordinated by the Municipal Police Training Committee and the Department of Fire Services.

During both days from 8 a.m. to 5 p.m., you will notice an increased presence of police, fire, and EMS personnel, particularly in the areas near Usdan and Kutz Hall. As part of the training, Kutz Hall will be used for scenario-based exercises that will include emergency sirens, yelling, and simulated gunshot sounds.

Signs will be posted in and around the training area to inform anyone who may not have seen this announcement.

Please be assured that these activities are controlled training exercises. As always, if you have any questions or concerns, do not hesitate to contact Public Safety.


ESPECIALLY FOR STUDENTS
Fall 2025 Bills

The Fall 2025 bill will be available to students and families via the Nelnet Student Account Portal in early July with a due date of August 8, 2025. Students can access their billing details by clicking the Nelnet Student Account Portal link found within the Student Account worklet in Workday. Students who have never accessed the Nelnet Student Account Portal before will need to set up their student profile (refer to the Nelnet - Account Access job aid for detailed instructions) before they can view the bill.

In order for parents, guardians, sponsors, or another party to receive the student's tuition bill, view the student account, and make payments, the student must add them as Authorized Parties in Nelnet. Once they are set up as an Authorized Party, parents/guardians can access Nelnet directly with their own usernames and passwords; they cannot use the student's log-in credentials to access the portal.

SFS will send a notification to students and authorized parties when the information is ready in Nelnet.

Important Payroll Update: Week Ending June 29

For the pay period ending Sunday, June 29, non-exempt (weekly) payroll will be processed on Tuesday, July 1. Payments will be issued on Thursday, July 3.

To ensure timely payment, please submit all your time by the end of the day on Sunday, June 29. This will allow managers to review and approve timesheets by the end of the day on Monday, June 30.

AI Literacy and Policy Formation Non-credit Credential

Want to better understand the algorithmic biases of AI and how to mitigate them? In the AI Literacy and Policy Formation Non-credit Credential through Brandeis Online, explore how AI systems can perpetuate biases, the impact of these biases on decision-making processes, and the ethical and policy considerations necessary to create fair and trustworthy AI systems.

This 8-week course is offered fully remote, with synchronous and asynchronous components that offer a balanced, flexible, and engaging educational experience.

Campus is moving to Zoom Phone

Moving to Zoom Phone brings the convenience of the Zoom Workplace app:

  • Faculty & staff will be able to answer your phone from anywhere!
  • Voicemails arrive with both a transcript and an audio recording.
  • Faculty and staff can also opt in to have Zoom Phone on their mobile devices, meaning you can take your Brandeis extension with you wherever you go and never miss an important call while keeping your personal number separate from your work.
  • You can easily switch from a Zoom Phone call to a Zoom Meeting with the push of a button.

All faculty and staff with a Brandeis-issued computer should confirm they have the Zoom Workplace app installed on their Brandeis-issued device. Access to Fax Machines at Brandeis

With the implementation of Zoom Phone, physical fax machines at Brandeis may no longer function after July 23. Brandeis has an e-fax solution called XM Fax that works in conjunction with the Ricoh multi-function printers located throughout campus. If you are using a department fax machine in your office, we recommend opening a ticket with ITS to request access to XM Fax after July 23 if you still need access to a fax machine. FRIENDLY REMINDERS
Annual Fire Alarm Testing & Schedule

As a commitment to the Brandeis University Community to continue to improve the reliability the Brandeis University’s Fire Alarm Systems, we have scheduled our 2025 annual Fire Alarm Testing.

Testing is taking place now through August 15. Since we test every building on campus, please visit the Campus Planning and Operations website for reference to your building's schedule. Signage will be placed at the entry doors to the buildings during the test to notify those entering the buildings.
