ITS provides the hardware and infrastructure to support voice over IP (VoIP) phones as well as Automated Call Distribution (phone queues), fax lines and emergency call boxes.
Making a Conference Call
Adding someone to your call
- Once you are on the line with someone, press the "Confrn" soft key.
- Dial out to the extension you would like to add to the conference call.
- Once the extension picks up, press "Confrn" again to add it to the conference call.
People can only be added to the conference call from one extension calling out (participating individuals cannot dial in).
Conference calling with multiple participants
Zoom web conferencing service is available free of charge to the Brandeis community for all virtual conferencing needs. Zoom allows up to 100 participants to connect to virtual meeting room via web browser, telephone, mobile device as well as other methods. Zoom is a replacement for Blue Jeans.
To obtain an account, visit brandeis.zoom.us and click on login. You will automatically be provisioned an account when you log in for the first time. For more information on Zoom, visit Zoom.
Placing a Call
Placing a call (campus, domestic and international)
- To place an on campus call, pick up the phone and dial the 5-digit extension
- To place an off-campus call within the U.S., pick up the phone and dial 8-1-area code-phone number

To place an off-campus call to an international location, pick up the phone and dial 8-011-country code-phone number
To place calls outside of the Waltham area, you will need a long distance code. Each individual gets their own long distance code. To request a code, email help@brandeis.edu with the following information:
- First and last name
- Brandeis email address
- Phone extension
- Department chargeline
- Specify domestic or international*
If you lost your long distance code or suspect that it was stolen, contact the Brandeis Telecom Team via e-mail at help@brandeis.edu.

Zone 1: Arlington, Belmont, Brighton, Brookline, Cambridge, Jamaica Plain, Lexington, Lincoln, Medford, Natick, Needham, Newton, Somerville, Watertown, Wayland, Wellesley, Winchester

Call pick-up, hold and redial
Call pick-up allows people in an office area to answer a call on an extension other than their own phone.
- To answer the call, lift the handset, press "Pickup," and press "Answer."
- To place a call on hold, press the "Hold" button. To retrieve the call, press "Resume."
- To redial the most recently dialed number, press "Redial."
Creating an Alternate Greeting
It is possible to set and schedule specific voicemail greetings to play during specific times away from the office (i.e., vacation). When the duration of the specific greeting ends, the alternate greeting switches back to your regular voicemail greeting. To set up an alternate greeting, log in to your voicemail box and follow these instructions:
- Press 4-1-2 to get to the Alternate Greeting Menu.
- Press 1 to schedule an end date.
- Choose duration in days. For example, 0 will end later the day of setting, 1 will end the next day, 2 will end for the day after next, and so on. Press 9 to choose month and day.
- Enter time to end in hours and minutes and press #.
- Enter 1 for a.m. or 2 for p.m.
- Record your alternate greeting.
Transferring a Call
To transfer any call to another extension within the Brandeis phone system:
- Press "Transfer."
- Dial the 5-digit extension number.
- When the person answers, announce the call.
- Press "Transfer" again.
If the extension is busy or does not answer:
- Press "EndCall."
- Press the "Resume" soft key to connect to the original caller.
Transfer Directly to Voicemail
To transfer a call directly to voicemail while on an active call:
- Press "Transfer."
- Dial *7 + 5-digit voicemail box number.
- Press "Transfer" again.
Enabling or Disabling Call Forwarding
You can forward your Brandeis office phone to another number. It simply forwards all calls to your chosen number, whether that be a cell or landline. Calls will appear to be coming from "Brandeis University" or however you have our main number is entered into your cell phone.
To enable forwarding from your office phone, refer to the following instructions:
To forward all incoming calls to another number:
- Press the button under "Forward all." You will hear a confirmation beep. (Note: depending on your phone, ou may see "CFwdALL.")
- Enter the number you would like to forward all your calls. Include 8 + 1 + 10-digit phone number (example: 8 1 781 1234).
- You will hear a confirmation beep and the icon next to your line will change to indicate calls are forwarded.
To forward all incoming calls to voicemail:
- Press the "Forward all" softkey. You will hear a confirmation beep. (Note: some phones will have "CFwdALL" softkey.)
- Enter 6-2222.
- You will hear a confirmation beep and the phone display is updated to show that calls will be forwarded.
- Your Brandeis username and office phone number (full 10 digits).
- The 10-digit number to which you would like to forward all your Brandeis calls.
Checking Voicemail
To access from on-campus:
- Press the voicemail softkey.
- Enter your ping (or password) when prompted, followed by #.
- Follow the voice prompts to retrieve new or saved voice messages.
To access from off-campus:
- Dial 1-781-736-2222.
- Press * and enter your 5-digit extension number when prompted for “ID”, and press #.
- Enter your pin (or password), followed by #.
- Follow the voice prompts to retrieve new or saved voice messages.
