| Blue Light Phones | Complete | Student Experience, Risk Mitigation, Financial Savings | Inventory and remove all of the Blue Light Emergency phones and replace them with a Mobile Safety application from Motorola called AppArmor. The Brandeis version will be called Brandeis Safe. |
| Brandeis Online-Microcredentials | Implementation,Q4 2025 | Student Experience; Teaching & Learning; Revenue Generation | Brandeis Online is rolling out a microcredentials program. This project provides the technical infrastructure for participants to register, pay, and engage in these non-credit courses which involves Slate, Workday Finance, Moodle, and badges. |
| VPN Replacement | Implementation,Q1 2026 | Risk Mitigation | Our current VPN (Virtual Private Network) vendor was purchased by another firm and transitioned to a new product. The new firm/product has had multiple security vulnerabilities. Brandeis is shifting to the more secure Palo Alto Global Protect. |
| Zoom Voice | Implementation,Q4 2025 | Financial Savings, Faculty/Staff Experience, Vendor Driven | Implement Zoom Voice to replace our Cisco based telephone system and desktop telephones, and Zoom Contact Center to replace our existing call center software. |
| Cloud Storage Limits | Implementation,Q1 2026 | Financial Savings, Vendor Driven | Google has changed its storage allotment for higher education from being unlimited to having defined limits. Brandeis must implement policies and technical changes to remain in compliance with these new limits. |
| CCURE TLS Certificates | Implementation,Q4 2025 | Vendor Driven, Risk Mitigation, Student Experience | Our physical door access system, CCURE, relies on TLS encryption certificates that expire in February 2026. These must be replaced for our door systems to continue functioning beyond that date. All TLS encryption certificates have been updated prior to the February 2026 deadline. Will use spare panel stock acquired by the project to replace the oldest panels on campus/ Science Buildings |
| IT Works Replacement | Implementation-Q2, 2026 | Student and Faculty Research, Vendor Driven | Replacement of the university grant accounting system with a new product to meet the grant accounting needs across Brandeis. IT Works is at end of life. |
| Maximo Replacement | Implementation-Q2, 2026 | Student/Faculty/Staff Experience, Vendor Driven | IBM’s Maximo, our facilities work-order management system, is at end of life. This project will replace Maximio with Brightly, a cloud-based alternative that will meet Brandeis business needs. |
| Adjunct Faculty contracts in Workday | Implementation-Q4, 2025 | Efficiency, Risk Mitigation | Build out the Faculty contracting process in Workday for all per-course hires across the University. Retire the Slate contract functionality being replaced by Workday. |
| Sprintax | Implementation-Q1, 2026 | Student Experience, Efficiency | Replacement of the existing Windstar Tax Navigator software with the Sprintax Calculus online software product to facilitate US nonresident tax preparation. |
| Workday HR Job and Compensation Framework | Implementation-Q3, 2026 | Compliance, Risk Mitigation, Efficiency | Design and implementation of staff job families, ladders, and salary grades in Workday. We are working with HR, CMO, and the Workday team to begin Workday configuration changes and initial data loads via EIBs. Full job framework data loads are expected in spring 2026, followed by user testing and validation. Go live is targeted for October 2026. |
