New-Faculty Checklist
- Complete Workday* On-boarding Tasks (I-9, direct deposit, update personal information, etc.) upon receiving an email prompt from Workday.
- The I-9 Employment Eligibility Verification form (pdf) must be completed by your first day of employment. Please note: Section 1 of the I-9 Employment Eligibility Verification form (pdf) must be completed in Workday. Section 2 can be accomplished in two ways,
- In-Person Method: Please contact us at humanresources@brandeis.edu or 781-736-4474 to set up an appointment; or
- Remote Method: If you will not be on campus on or before your first day of employment, you must use the remote method. Remote I-9 Instructions outline the process for you, which involves sending us the notarized original documents and copies of the Acceptable Documents.

- Set up a Brandeis email account.
- Visit the COVID-19 Response webpage.
- Brandeis University requires proof of COVID-19 vaccination for all community members prior to their first day of work. Community members are also required to receive a booster shot prior to their first day of work, or as soon as they are eligible. Individuals may request an exemption from the vaccine requirement for medical or religious reasons. More information regarding the University’s COVID vaccination requirement and exceptions may be found at the University’s COVID-19 Vaccination Policy webpage.
- Obtain Brandeis ID Card.
- Obtain Brandeis Parking Permit.
- If your position is benefits-eligible:
- Enroll in health insurance within 31 days of your first day of employment.
- Arrange to waive the waiting period for Brandeis’ retirement benefits match if you worked at a 501c3 or college/university in the past. For consideration of the waiver, please have your prior college or university complete this form and fax it Human Resources as noted in this form: Service credit at other college or university hire instructions (pdf)
- Contact the Office of Human Resources Benefits Team for details on health insurance and Brandeis’ retirement match. A benefits webinar is available for benefits eligible faculty.
- If your position is not benefits-eligible, the following information about health insurance may be helpful:
- Learn to use the Learning and Teaching Technology Environment (LATTE), the university learning management system, a Moodle-based learning platform that enables Brandeis faculty members and students to engage in on-line education. Review the Learn LATTE course found on your LATTE dashboard, join a LATTE workshop, explore the LATTE Shell Guide, or contact the Library for support.
- Learn to use Workday for its classroom teaching functions (e.g., admitting students to a class, managing enrollment limits, etc.).
- Submit Course Reserve requests to the Library for books and films you’ve assigned to your class.
- Request a Digital Assistant (DA) for your course (for School of A&S and Heller School). Please note: DAs will not be available after 2021.

- Visit your school’s webpage to learn about policies and procedures, governance, and available support.

*Workday is the university system of record for Human Resources, Finance and Payroll-related activities. It is also the system to manage self-service functions, including updating personal information, viewing payslips, and more.
