Flexible Schedule for Staff-Summer 2024

The University is deeply appreciative of the continued efforts made by our staff to support the University’s mission, our students and each other. We recognize the importance of work/life balance and time away from work to focus on yourself, your family and friends and to return to the workplace with renewed energy.

As communicated in InBrief, departments/units may offer a flexible or compressed schedule to eligible staff this summer beginning Monday, June 10, 2024 through Friday, Aug. 16, 2024 (excluding Holiday weeks).

Brandeis University’s priority is to provide effective and efficient services to internal and external constituencies during all normal working hours, Monday through Friday. Therefore, it is important that flexible or compressed work schedules are approved by the department’s appropriate supervisor, in coordination with the Department Chair, Director, Dean, Vice President or Senior Vice President. Some departments may be unable to implement the program due to operational needs.

Flexible Schedule Program Requirements:

Eligibility: Staff in good standing, meaning a record of satisfactory work performance, including satisfactory attendance, as determined by the supervisor.

Flexible Schedule Option: 35 hours a week over 5 days are compressed to 4 days leaving one day off per week. Alternatively, employees can choose to work 35 hours over 4.5 days, leaving one half day off per week (with supervisor approval).

Hours: Options available include start times as early as 7:00 a.m. or as late as 9:00 a.m. with ending times between 4:15 p.m. and 6:15 p.m. Start and end times may vary per day and per week as needed to support department operations.

Important Factors:

Summer Flex Period: Weeks of June 10 through August 16, 2024 excluding the weeks of June 17 and July 1 where the June 19 (Juneteenth) and July 4 and 5 (Independence Day) University holidays are observed.

Management Accountability:

Managers are accountable for ensuring that this program will provide continued operations for their areas every day between the hours of 9:00 a.m. and 5:00 p.m. Managers are also responsible for approving all proposed flexible schedules of their staff, ensuring that the extended daily are hours are being met and for ensuring the total number of hours worked per week does not change.

Lunch Break:

Employees who work more than 6 hours in a day are required to take at least a thirty (30) minute unpaid lunch. As lunch breaks are unpaid, please note that they extend working hours. For instance, an employee who works 8.75 hours per day, and has a 30-minute unpaid lunch, will have a shift of 9.25 hours per day in total. Longer lunch breaks may be elected by employees, which will then be reflected in an employee’s overall schedule and hours worked. May vary by shift and day.

Time Off Accruals:

Vacation, sick and personal time accruals will remain the same.

Examples:

Examples of possible schedules based on a 4-day workweek with a 30-minute lunch:

7:00 a.m. to 4:15 p.m.

7:30 a.m. to 4:45 p.m.

8:00 a.m. to 5:15 p.m.

8:30 a.m. to 5:45 p.m.

9:00 a.m. to 6:15 p.m.
