Employment Process for Students
How to Obtain a Job on Campus
All open positions are posted online through Workday. You must apply for jobs in order to obtain one.
- Log into Workday with the same login as your Brandeis email.
- Once in Workday, Click the Student Job Hub icon, and “Find Jobs for Students” to search for jobs.
- Click on the job title to view the job description, and hit to apply for the job (a resume is required).
After submitting applications you can see the status of your submission in the Career tab under View > My Applications. The status could be Applied, Offer or Not Selected.
If you are offered a position you will receive an offer letter in your Workday inbox. The letter will include your job title, wage rate and anticipated start date. You will need to accept the offer letter in order to move the process forward.
Once hired into a position you will need to complete an I-9 form through Workday. Section 1 of the I-9 is completed online through Workday, and is usually available in your Workday inbox within 24 hours of hire completion. Section 2 may be completed either in person at Student Financial Services (Usdan 120) or remotely, via Zoom:
- In person: You must bring in the original documents, not copies or scans to the SFS front desk for review. We are open Monday to Friday, 9am to 5pm for walk-in appointments. You may also schedule an appointment here.

A full list of acceptable documents can be found on the USCIS website. You will not be able to submit time or be paid until this form is submitted so please do it ASAP!
DO NOT start working until the Form I-9 is complete.
Once your hire is complete, a number of additional onboarding tasks will appear in your Workday inbox within 24 hours. Some helpful information and instructions for those tasks are in the Direct Deposit, Time Entry and Viewing Your Pay Statement Sections below.
International Students
Here are the steps for beginning on-campus employment:
Step 1. Determine your eligibility
Students must be enrolled at Brandeis and studying in the US to be eligible for on-campus employment. For more information, please see the Who is Eligible section above.
Step 2. Apply for Jobs in Workday and Receive a Job Offer
Step 3. Apply for a Social Security Number
Once you are offered a position, if you do not already have a Social Security Number (SSN), you and your hiring supervisor will need to complete and sign an International Student Employment form. You should then bring this form to the ISSO to be signed by an advisor (allow at minimum one business day for ISSO to provide the signature). Please see the ISSO website for detailed application instructions.
Note for J-1 students: You will need an to receive a "J-1 on-campus work authorization letter" from the ISSO. Bring your "New Hire/Re-Hire" form or fellowship award letter to an ISSO Advisor to request ISSO employment authorization. Students who are sponsored by an outside agency (i.e. Ford Foundation, Fulbright, Tibet Fund, etc.) must receive written permission from their sponsoring agency for the particular job they have been hired for to request ISSO permission to work on-campus.
Step 4. Complete the I-9 Form
Once hired into a position you will need to complete an I-9 form through Workday. Section 1 of the I-9 is completed online through Workday, and is usually available in your Workday inbox within 24 hours of hire completion. It will take about two weeks to receive your social security card. While you are waiting to receive your card, you can use the receipt given to you by the SSA to complete the form in order to temporarily authorize you to begin working on campus. Please see the USCIS list of acceptable documents to determine what you can bring with you when filling out the I-9. If you are a J-1 student who wishes to present your foreign passport with form I-94, your DS-2019 may also be needed to determine the period of endorsement.
If you do not receive your social security card within the expected two-week processing time, please let us know and contact the Social Security Administration. Please work with Kaleigh Ferguson or Kristyn Burke on any I-9 issues that emerge, including TNC (tentative non-confirmation).
Note for J-1 Students: You will need to bring the ISSO "J-1 On-Campus Employment Authorization" letter to the individual who completes your I-9 Form.
I-9 forms for hourly student employment are completed with Student Financial Services. I-9's for fellowships are completed with your graduate school.
- GSAS Fellowships: I-9s are completed at the Graduate School of Arts and Sciences.
- Heller or IBS Fellowships: I-9s are completed with your department administrators.
Step 5. Complete Tax Forms and Foreign National Information Form in Workday
All applicable tax forms and personal information tasks will be sent to your Workday inbox. For taxation purposes you must also complete the Foreign National Information Form. You will be required to share copies of your passport, visa, I20/DS-2019 and I94 with payroll for documentation of your eligibility.
International students may work up to 20 hours per week during the academic semesters and up to 40 hours per week during Winter Break and summer vacation.
Direct Deposit & Tax Information
- Once you are hired, Manage Payment Elections (Direct Deposit) will appear as a task in your Workday inbox.
Direct Deposit is the easiest and most convenient way to receive your pay; your money will be deposited directly into your bank account each week, which saves you the hassle of having to pick-up your checks. If you do not sign up for direct deposit then you will need to pick your check up from the Payroll office at 60 Turner St.
Under the Preferred Payment Method Section - "Regular Payroll" refers to your paycheck. Please make sure this is set to "Direct Deposit - Payroll"
- If you are an international student you should also complete the Foreign National Information Form
- Federal and State Tax Elections will appear as a task in your Workday inbox. Compete these to determine your appropriate tax rate.
Time Entry
You must enter time worked and submit it through the “Time” worklet in Workday in order to be paid. If you do not submit your time then your supervisor is not able to approve your time and you will not get paid. You are responsible for recording and submitting your hours each week that you work. Undergraduates and international students are limited to 20 aggregate hours per week of work during academic periods.
Friday is pay day. You should receive your first payment on the Friday of your second week of work. Pay is issued on Friday for the previous week worked.
Viewing Your Pay Statement
It is important to review your pay statement each time you are paid. This statement displays a breakdown of your weekly earnings and any taxes being withheld. You can find it by clicking on the “Pay” worklet, and then "Payslips”.
SSN
All U.S. employers require employees to have an SSN. This unique nine digit identification number is issued by the U.S. government and is necessary for getting paid and paying taxes. We participate in E-Verify and therefore a Social Security Number is required for your I-9. If you do not have a SSN, you need to apply for one before you can complete the I-9 and begin working. To apply for an SSN please complete the International Student On-Campus Employment Form. You must then visit the nearest Social Security Administration office to complete an SSN application form. If your application is accepted, you will receive a receipt confirming that you have applied for a SSN and your SSN card will arrive in the mail within 2 weeks.
