Zoom Security Resources
With the transition to online classes, virtual events and a remote workforce, keeping virtual meetings safe and secure is especially important. Zoom is equipped with various tools to keep your meetings safe and secure.
Please review the measures listed below to secure your meeting before your meeting begins and understand what can be done when your meeting is already in progress.
Setting up the meeting
Before your meeting begins, consider the below options to reduce the likelihood of unwelcome or disruptive participants joining your event.

Be sure to use a Brandeis Zoom account when setting up your meeting to ensure your meeting has access to all of the features of the Brandeis Zoom license including no time limits on meetings, access to cloud recordings, and default security features. Be sure you always login to Zoom via brandeis.zoom.us on a web browser or by clicking "Sign in with SSO" in the Zoom installed application.
Attendees cannot join a meeting until a host or co-host admits them individually from the waiting room. Recommended for class or meetings with a small participant list. It is also recommended that a meeting co-host is designated to manage the waiting room.
Require a password for entry to your Zoom meeting by enabling the following settings in your Zoom user account.
- "Require a password when scheduling new meetings"
- "Require a password for Instant Meetings"
- "Require a password for Personal Meeting ID"
In addition, be sure to disable the setting called "Embed password in meeting link for one-click join".
Note: By requiring a password, you will have to provide the password in a separate communication from the meeting link. This is less convenient but is a deterrent to unwanted visitors.
Meeting hosts can disable screen sharing for attendees. Screen sharing is allowed by default to improve the ease of use for remote work and learning, but we highly recommend instructors turn screen sharing off if it will not be necessary.
- Log in to your Brandeis Zoom account.
- In Meetings (Basic), select >Screen sharing.
- Select Host Only.
To give meeting participants screen sharing permission during the meeting, you can promote an individual participant to co-host to allow them to screen share OR adjust the screen sharing permission in the Security tab on the toolbar.
Keep in mind that disabling screen sharing does not necessarily prevent participants from annotating a shared screen. Be sure to check the annotation settings as well if participants should not be allowed access to annotation tools.
During the meeting
If you are mid-meeting and need to handle a disruption (for example, a participant is interrupting the session), there are several ways you can resolve the issue.

When you start up your Zoom meeting, make sure you start it as the host rather than clicking the invitation link and joining as a participant.
When a host joins their meeting, they will see a Security icon on the toolbar. The security icon combines all of the security features into one place, so the host can easily control access to screen sharing, waiting room, lock the meeting, remove participants and more. If you notice an unwanted guest has joined or a participant is disruptive to your session, you have the option to remove them. To remove a participant:
- Click Manage Participants at the bottom of the Zoom window (if the Participants< panel is not already visible).
- Next to the person you want to remove, click More.

From the list that appears, click Remove.
Once all attendees have arrived, you can "lock" the meeting via the participant list. This is similar to locking a physical door to the classroom. Th Zoom Host Controls allow the host or co-host to lock the meeting once all your attendees have joined. When a meeting is locked, no one else can join the session, regardless of having a meeting password. To lock your meeting:
- Click Manage Participants at the bottom of the Zoom window (if the Participants panel is not already visible).
- At the bottom of the Participants panel, click More.
- From the list that appears, click Lock Meeting.
The host or co-host can unlock the meeting using the same steps outlined above.
Note: If a participant leaves the meeting (e.g., poor connectivity issues), they will not be able to re-join the meeting.
- In the Zoom meeting window, click Chat.
- In the Chat panel, click the option menu icon.
- In the pop-up window, click No One to prevent participants from chatting in the meeting.

Zoom bombing is a new form of internet trolling to disrupt Zoom meetings. The uninvited participant joins your meeting and disrupts it by taking over the Screen Sharing feature to share explicit images or videos or the Chat feature to post inflammatory comments.
